Fence, deck and patio estimate follow-up texts that don't sound pushy

Six short messages for fence, deck, patio and retaining wall quotes that went quiet, with when to send each one and what it's for. Copy them, change the brackets, and send from your own phone.

Day 1: the “did it come through?” check

A quick check that the estimate arrived, with no decision asked for. Easy to answer and easy to ignore.

Hi [First name], it's [Your name] with [Company]. Just making sure the [fence] estimate came through okay. Happy to walk you through any of it.

Day 4: answer the unspoken questions

Offer to clarify the scope, timing and warranty you actually quoted. Mention financing only if your business provides it.

Hi [First name], [Your name] again from [Company]. Is anything unclear about the scope, timing or warranty in your [fence] estimate? Happy to answer a question before you decide.

Day 10: the polite close-out

Makes closing it out an easy answer too, and it's the last message in the sequence.

Hi [First name], [Your name] with [Company]. I don't want to keep bugging you. Should I keep your [fence] estimate open, or close it out for now? Either answer is totally fine.

When they say “still deciding”

Acknowledge, set one clear check-back, then actually wait.

Totally understand. Would one check-back on [date] be useful, or would you prefer I leave it with you? If another date works better, let me know.

When price is the objection

Ask what needs explaining before changing the price. Offer a different scope or financing only when you actually provide it.

Thanks for being straight with me. Is there a part of the scope or price you'd like me to explain? I can walk you through what's included so you can compare the options. No pressure either way.

When they went with someone else

Leave the door open. It costs nothing, and a house still needs service later on.

Appreciate you letting me know, and congrats on getting it handled. If you ever need a second opinion or service down the road, I'm a text away.

Choose the next action before you send

Use these only for requested estimates and contacts you are permitted to follow up with. Replace every bracket, verify the recipient and review the wording. The suggested days are a starting point: an agreed check-back date takes priority. A reply starts a conversation; it is not a won job or collected payment. Stop when asked, and keep that opt-out with the contact.

Fence, deck & patio follow-up tips

  • Building season sets the calendar. If your schedule really is filling for the season, say so with real dates. Don't invent a deadline.
  • HOA approval, permits and property-line questions often stall outdoor projects. Ask whether any of those are the holdup before assuming price.
  • If budget is the issue, offer a phased version (the deck now, the pergola later) before you offer a discount.
